Privacy

What we collect from guests

• Your first name, email and mobile number when you confirm your booking with a code.
• Your bookings: the restaurant, date, time, party size and any note you add.
• The name and billing address on a card you use for a deposit, a prepaid menu or to hold a table. Your card number goes straight to the restaurant's payment company; HostyFlow never sees or stores it.
• Reviews you write, shown with your first name and last initial.
• A cookie that keeps you signed in on your browser, so you don't need a new code each time you book.
• When you book through a chat or booking app that uses HostyFlow's booking tools, such as HostyFlow in ChatGPT: only what that app sends to book for you (the restaurant, date, time, party size, your name, email, phone and any note) and the app's name. HostyFlow never asks for or receives your conversation.

How we use it

• To book your table and send your confirmation, reminders and changes.
• To give the restaurant you book with your name, contact details and booking, so it can seat and look after you.
• To keep a HostyFlow account for you, so you can book at any HostyFlow restaurant without starting over.
• To keep our own record of guests, checked for fake or mistyped details.
• To email you news and offers from HostyFlow restaurants. Every email has an unsubscribe link.

Text messages

When you ask for a code by text, or when a restaurant texts you about your booking, the message comes from that restaurant's HostyFlow number. Reply STOP to stop texts from that restaurant, or HELP for help. We don't sell your mobile number or share it for anyone else's marketing texts.

Who we share it with

• The restaurant you book with.
• The companies that run our payments, email, texting and hosting, only to do that work for us.
• Authorities, when the law requires it.

We don't sell your personal information.

Visits to hostyflow.com

When you visit hostyflow.com, we count the pages you open and the site that sent you with a random ID kept in your browser, never your name, email or IP address.

Restaurants and their teams

For restaurants we keep the account, team members, settings, floor plan, bookings, guest list, messages, calls and payment records needed to run the restaurant on HostyFlow. A restaurant's guest list belongs to that restaurant.

How long we keep it

We keep your account and bookings while you use HostyFlow and while a restaurant's records need them. When you ask to have your details removed, HostyFlow removes them from use right away, everywhere. A sealed copy is kept for at least three years for legal and dispute needs, and it is never used for anything else.

Your choices and removing your details

• Sign out on any browser with "Not you?" on the booking card.
• Your visits and food preferences stay with each restaurant unless you tick "Share my visits and food preferences" on the booking card while signed in. Then the HostyFlow restaurants you book see how often you visit, any no-shows, your dietary needs, allergies, occasions and languages. Untick it any time and they stop seeing it.
• Unsubscribe from any email with its link.
• Reply STOP to any text.
• Remove your details with the form below, or write to deletemydata@hostyflow.com. HostyFlow sends you a 6-digit code. Once you enter it, HostyFlow removes your name, phone, email, notes and messages right away, from HostyFlow and from every restaurant that holds them through HostyFlow. No more texts or emails reach you from those restaurants through HostyFlow. Payment records keep the amount and the payment company's reference. A sealed copy is kept for at least three years for legal and dispute needs, and it is never used for anything else.

Remove my details

Enter the email or mobile number you booked with. HostyFlow sends you a 6-digit code that works for one hour. Once you enter it, HostyFlow removes your details right away.
